How to Sell Wedding Invitation Templates Over 20MB on Etsy

A wedding suite is never one card. Invitation, RSVP, details card, menu, program, welcome sign β€” each exported as a print-ready 300 DPI PDF with bleed and crop marks, because that's the file a print shop will actually accept. Then each one again in A-series, because plenty of your buyers are printing on A5 and A4. That's 12 to 30 files before anyone types a name into the template.

The signage is what breaks it. An 18Γ—24 in welcome sign at 300 DPI is 5,400 Γ— 7,200 pixels. A 24Γ—36 in seating chart is 7,200 Γ— 10,800 β€” 78 megapixels. Either one can outweigh the entire card suite. Etsy allows 5 files at 20 MB each per Etsy listing: a 100 MB ceiling for a product whose whole promise is 'everything you need, ready to print.'

The file-size math

What you deliverRealistic size
Canva link PDF + printing guide200 KB–2 MB
5Γ—7 in invitation, print-ready PDF with bleed2–12 MB
Six-piece card suite, US + A-series30–140 MB
18Γ—24 in welcome sign, 300 DPI12–45 MB
24Γ—36 in seating chart, 300 DPI25–90 MB
Full suite with signage, both paper systems100–500 MB
Etsy's ceiling per Etsy listing5 files Γ— 20 MB

The weight is in the pixel count, and pixel count scales with area. A 5Γ—7 card at 300 DPI is about 3 megapixels. The 24Γ—36 seating chart is 78. Put a watercolor wash or a linen texture behind the type β€” the aesthetic this niche sells on β€” and the flattened export is tens of megabytes before you place a single guest name.

The cards look harmless until you multiply. Six pieces, two paper systems, and three versions of each (print-ready with bleed, home-print sheet, digital JPG) is 36 exports of one design. Individually unalarming. Collectively, well past Etsy's 100 MB ceiling.

What buyers of wedding invitation templates expect

The complete delivery in this niche looks like this:

Canva template link (PDF or TXT)

The editable half of the product β€” a one-page file carrying the 'Use template' link and edit instructions. Tiny, and the only file in the suite that never has a size problem.

Print-ready PDF with bleed and crop marks

300 DPI, 0.125 in (3 mm) of artwork past the trim line on every edge, crop marks outside it. This is the file the print shop takes without emailing the couple back.

US and A-series versions of every piece

5Γ—7 in and A5, 3.5Γ—5 in and A6, Letter and A4. Not a resize β€” a separate export per piece, per paper system, because the aspect ratios don't match.

Home-print sheets (2-up and 4-up)

Two 5Γ—7 invitations per Letter or A4 sheet, four RSVP cards per sheet, with cut lines. Buyers printing at home need these; print shops don't want them.

Signage at 18Γ—24 in and 24Γ—36 in

Welcome sign, seating chart, bar menu. The largest files in the shop by a wide margin, and the ones every guest stands in front of.

High-res JPG plus font links and a printing guide

JPGs for couples texting the details card, download links for the free fonts you can't legally redistribute, and paper-weight advice. The guide is what keeps your inbox quiet.

Why Etsy's 20 MB Γ— 5 cap bites here

Two of your five slots are gone before a single print file goes up: one for the Canva link PDF, one for the printing guide. That leaves three slots for a suite that honestly needs twenty-plus files β€” and the welcome sign won't fit in any of them.

Wedding buyers are on a clock. Someone buys the suite at 11pm because the print deadline is Friday, and they need the seating chart at full size β€” not 'Part 2 of 3' and a message asking you to re-send. In this niche a delivery problem is a wedding problem, and the reviews say so.

The workarounds sellers use β€” and what they cost

Every wedding invitation templates seller has tried at least one of these.

1. Deliver the Canva link and nothing else

Skip the print files entirely. The buyer edits in Canva and exports their own PDF.

The problem: Crop marks and bleed live behind a download option buyers don't know to look for, and A-series sizing trips them again. The print shop receives a no-bleed file, trims into the type, and the couple blames your template.

2. Downsample the signage until it fits

Export the 24Γ—36 seating chart at 150 DPI, or compress it until it clears the cap.

The problem: A seating chart is read from a few feet away by every guest who walks in. Soft type at that size is obvious to the whole room, and it's the one file that gets photographed and posted.

3. Split the suite across listings

Cards in one Etsy listing, signage in another, home-print sheets in a third.

The problem: Buyers who bought 'the full suite' didn't buy three listings. They message you the week of the wedding asking where the welcome sign is, and you're delivering files manually from your phone at dinner.

4. Zip everything into one archive

Compress the whole suite so it lands in a single Etsy file slot.

The problem: Print-ready PDFs and JPGs are already compressed, so the archive comes out within a few percent of what went in β€” a 300 MB suite lands around 290 MB. You've added an unzip step for buyers on phones and saved nothing worth having.

5. Put a Dropbox or Drive link in the PDF

Etsy delivers a one-page PDF; the real files sit in a shared folder. It feels normal here β€” a link PDF is already how the Canva template gets delivered.

The problem: It works until a couple downloads on a locked-down work Google account, or you reorganize the folder in the off-season and last spring's buyer can't get their program the night before the rehearsal.

Deliver wedding invitation templates the simple way

OrderFiles works alongside your Etsy shop. You keep your listings, your reviews, and your traffic β€” the files just stop being the problem.

1

Upload the suite at full print quality

Every card in US and A-series, the home-print sheets, the JPGs, and the 24Γ—36 signage β€” files up to 5 GB each with 50 GB of storage for your whole shop. Nothing gets flattened to fit a cap.

2

Keep the Canva link with the print files

Drop the link PDF and the printing guide in alongside everything else. Buyers get the editable template and the ready-to-print version from one place, which is how they assumed it worked when they bought it.

3

Match the product to your Etsy listing

The OrderFiles product takes the Etsy listing's title, character for character. Matching happens on its own after that β€” including at 2am, when the couple whose deadline is Friday finally buys.

4

Forward your Etsy order emails

One forwarding rule, set once, covers every suite in your shop. OrderFiles verifies the order and delivers the files without you touching anything.

5

The couple gets one branded page

Invitation, RSVP, details, menu, program, signage β€” every size, no parts to reassemble, no folder permissions to troubleshoot. They download it, send it to the printer, and get married.

Order verified β€” downloads unlocked. That's the whole buyer experience.
