Etsy Digital Download Instructions: Free Templates for Your Listing and PDF

October 21, 2026 · 6 min read

Many "I can't download it" messages can be answered before anyone sends them. You need two short pieces of text: one in your listing, one in your PDF. Here are both, ready to copy, plus a version for when the PDF holds a download link.

Swap anything in [square brackets] for your own details. Etsy facts are from Etsy's help pages, checked on October 21, 2026.

What Etsy digital download instructions need to say

Buyers get stuck in the same few places. Etsy's own help page on how to download a digital item covers each one:

  • Where the files are. On the Purchases page of their Etsy account, under Download Files. Etsy also emails them a link.
  • When. Instant downloads are ready once payment is confirmed. Etsy says that can take a few minutes.
  • Not in the app. Etsy's app can't download digital purchases. They need a browser.
  • Guests. No account means no Purchases page. The link is in the receipt email.
  • ZIP files. They need unzipping first, and on a phone that may take a file manager or an app.

Your instructions answer those five, in plain words, before the buyer has to ask.

Put this near the top of every digital listing. People skim, so keep it short.

HOW TO DOWNLOAD
This is a digital download. Nothing will be shipped.

• Your files are ready as soon as Etsy confirms your payment. Find them under Your account › Purchases › Download Files. Etsy also emails you a link.
• Please download from a web browser (Safari, Chrome) at etsy.com. The Etsy app can't download digital files.
• Checked out as a guest? Your download link is in your Etsy receipt email.
• You'll get: [3 PDF files and 1 ZIP file]
• [ZIP files need unzipping before use. On a phone, you may need a file manager app.]

Questions? Message me any time and I'll help.

Two things make this work harder:

  • Say the file types. Etsy shows the file type under Highlights on your listing, but a line in the description is harder to miss.
  • Use Etsy's note for buyers too. Etsy lets you add one note that shows on the buyer's Downloads page for every digital listing in your shop. Paste the browser line and your "message me" line there.

An instructions PDF is the first thing your buyer opens. Use it as a thank-you note, a table of contents and a help page in one.

Thank you for your order from [Shop name]!

WHAT'S INCLUDED

• [File name] – [what it is]

HOW TO OPEN YOUR FILES
• PDF files open in any web browser or PDF reader.

[Terms of use, e.g. "For personal use only. Please don't share or resell these files."]

"Come back any time" is true on Etsy's side. Etsy says there are "generally no limits for when or how many times you can download a file," as long as the order hasn't been canceled or removed.

Name the PDF so it's obvious which file to open first, like START-HERE-instructions.pdf. Etsy shows buyers the same file names you upload, and file names can't be edited after upload. Names are limited to 70 letters, numbers, periods, underscores or hyphens, so no spaces.

Template 3: Etsy download link PDF

Etsy allows five files per listing, 20MB each. When your product doesn't fit, the usual fix is a PDF with a link to the full files. Our guide to Etsy's file limits covers the other options.

Over the limit right now?

Drop your files into the free checker to see exactly how far over you are. Nothing uploads, it reads the sizes in your browser.

This version makes the link impossible to miss and gives a fallback when it won't click.

YOUR DOWNLOAD
Your files are too big for Etsy, so they're waiting for you here:

Link won't click? Type this into your web browser:
[your full link, as plain text]

GOOD TO KNOW
• Open the link in a web browser on a computer or phone.
• [If you use Google Drive: You don't need a Google account.]
• Save this PDF. The link is how you get back to your files.

NEED HELP?
Message me on Etsy with your order number and I'll sort it out.

That "no Google account" line is only true if your Drive file is set to Anyone with the link. Google's sharing help says anyone with the link can then use the file "without signing in to their Google Account." A Restricted file asks the buyer to request access. That's one of the classic reasons an Etsy download link isn't working.

How to make the link in your PDF clickable

A link only works if the PDF keeps it. Here's how in the three tools most sellers use:

  • Canva. Select the text, select More on the floating toolbar, then Link. Paste the URL and press Enter. Download as PDF. Canva says links don't work in flattened PDFs, PNGs or JPGs.
  • Google Docs. Highlight the text, then Insert › Link. Paste the URL and click Apply (Google's steps). Then File › Download › PDF Document.
  • Word. Select the text. On the Insert tab select Link, or right-click and choose Link. Paste the URL into the Address box (Microsoft's steps). Then save as PDF.

Test it signed out

Your own browser is signed in to your own Google account, so the link works for you even when it's broken for everyone else. Open a private or incognito window, paste the link, and check you can download without signing in. Then open the PDF itself on your phone and tap the link. That's what your buyer does.

Keep a plain-text fallback

Always print the full link as plain text under the button. If a buyer's PDF viewer drops the link, they can still type it. If the link is long, use a shorter one you control, and test that too.

The link in your PDF is the part that breaks

Your templates can be perfect and the link still fail. The sharing setting slips back to Restricted. You delete a file while tidying up. Every buyer gets the same link, and anyone they pass it to gets it too. Drive's wider risks for paid files are in is linking to Google Drive allowed on Etsy?

An OrderFiles link is exactly the kind of link Template 3 holds. OrderFiles is an independent delivery service, not affiliated with Etsy. You keep your listing, your reviews and Etsy's checkout:

  • You upload your files to a product titled exactly like your Etsy listing. Files go up to 5 GB each, with no cap on how many.
  • You upload a small PDF holding your OrderFiles link as the listing's digital file. Etsy hands it over the moment the buyer pays.
  • You forward Etsy's order emails to your shop's private OrderFiles address. It's one rule and takes about five minutes.
  • The buyer opens the link in any browser and unlocks it with their Etsy order number or purchase email. OrderFiles checks it against the forwarded order. Etsy can mask buyer emails, but the order number always works.
  • The page shows your shop's name and the product. Buyers download files one by one or all at once as a ZIP, folders kept.
  • The link alone opens nothing without a matching order. File links expire after 15 minutes, and repeated wrong guesses are blocked. Refunded an order? Mark it canceled and its downloads stop.

Use Template 3 as it is. Swap the "Google account" line for: "Enter your Etsy order number or the email you bought with to unlock your files." See how it works with Etsy.
